Day-to-day responsibilities include answering phones promptly, taking accurate messages, and routing calls to the appropriate provider. The role also involves coordinating referrals to internal and external healthcare providers and entering data into the Electronic Medical Record system.

The Medical Secretary works closely with outpatient clinicians to support and enhance patient care, anticipating provider needs so they can focus on clinical productivity. This position requires maintaining a confidential, safe, client-focused office environment and communicating well with patients, referral sources, families, and the multi-disciplinary team.

This is a part-time position working 24 hours every two weeks, with a set weekday schedule and no weekend requirements. The role offers the opportunity to contribute to a supportive maternity care team while building skills in medical office administration and patient services.

Requirements

  • High School Diploma or GED Equivalent required.
  • BLS certification through the American Heart Association required.
  • Experience in Medical Office Front Desk / Reception preferred.
  • Ability to greet clients in a professional manner and advise the appropriate provider of specific client issues.
  • Skill in scheduling clients using critical thinking to assign the appropriate provider and fill open time slots.
  • Ability to maintain confidentiality and handle Protected Health Information according to local, state, and federal guidelines.
  • Proficiency in verifying insurance electronically or by phone and following up on problems and documentation requirements.

Responsibilities

  • Registers and checks-in patients for outpatient appointments, collects co-pays, and schedules follow-up appointments.
  • Coordinates referrals to internal and external healthcare providers.
  • Enters data into Electronic Medical Records and maintains documents and related supplies for providers.
  • Answers the phone promptly and courteously, taking and routing messages accurately.
  • Screens calls as appropriate and communicates with patients and provider offices in a professional manner.
  • Completes all aspects of the check-in process, considering the patient's age, financial issues, and special needs.
  • Contacts insurance companies for authorization and logs preauthorization/insurance information in a timely, accurate manner.
  • Actively collects copayments and/or payments, applies funds to the appropriate account, and identifies problems to the Clinic Manager.
