Our client is a mental health practice dedicated to supporting individuals and families navigating reproductive and maternal mental health challenges. Services focus on compassionate care for infertility, pregnancy loss, stillbirth, postpartum depression, and other perinatal concerns.

The Medical Virtual Assistant completes patient intake coordination from start to finish while collecting and documenting information accurately in Practice Better. This role manages calendars, verifies insurance eligibility, and maintains organized records throughout the process.

Daily work includes answering phone calls, conducting non-clinical consultations, and providing trauma-informed support during sensitive patient conversations. The assistant coordinates referrals, follows up with patients, and ensures HIPAA-compliant handling of all information.

The position operates within a focused behavioral health setting that values empathy, professionalism, and attention to detail. Candidates contribute to efficient clinic operations while supporting providers and patients through structured administrative workflows.

Requirements

  • Experience with healthcare administration, patient intake, and insurance verification

Responsibilities

  • Complete patient intake coordination from start to finish
  • Collect and document patient information accurately in Practice Better
  • Answer incoming phone calls and manage patient inquiries professionally
  • Conduct non-clinical consultations and patient outreach calls
  • Verify insurance eligibility, benefits, and coverage details
  • Schedule appointments and manage provider calendars via Zoom and Google Meet
  • Monitor and respond to emails while tracking outstanding tasks and referrals
  • Maintain HIPAA-compliant handling of all patient information and documentation
